These Terms and Conditions (“Terms”) govern access to medscholarsai.com and participation in services provided by MedScholars AI, operating as MedScholars AI (“MedScholars AI,” “we,” “us,” or “our”).
By applying, enrolling, purchasing a program, creating an account, or otherwise affirmatively accepting these Terms, you agree to them.
1. MedScholars AI
MedScholars AI provides online educational and research-mentorship programs focused on subjects including artificial intelligence, machine learning, medicine, healthcare, biomedical science, medical imaging, genomics, and related research fields.
Services may include:
Research mentorship
AI and machine-learning instruction
Research-proposal development
Literature review
Experimental design
Programming
Data analysis
Manuscript development
Abstract and poster preparation
Conference presentation preparation
Workshop submission support
Conference submission support
Journal submission support
The exact services included in your program will be identified before enrolment.
2. Eligibility and Minors
You must provide accurate information regarding your identity and eligibility.
If you have reached the age of majority in your jurisdiction, you may accept these Terms yourself.
If you have not reached the age of majority, a parent or legal guardian may be required to:

MedScholars AI does not ordinarily enrol children under 13 through its standard online enrolment process.
Any enrolment of a child under 13 must use a separate process satisfying applicable parental-consent and privacy requirements.

Submitting an application does not guarantee admission.

We may accept, decline, defer, or waitlist an applicant, subject to applicable law.
4. Program Information
Before payment, the applicable program page, enrolment process, or agreement will identify relevant information such as:

Applicable taxes
Known mandatory fees
Program dates
Mentorship structure
Research format
Expected participant commitment
Material restrictions
Refund and cancellation terms
5. Online Checkout
Where required by applicable consumer law, MedScholars AI will provide relevant contractual information before a consumer completes an online purchase.
The checkout process will provide an opportunity to review the transaction, correct applicable errors, and affirmatively accept the agreement before payment.
A retainable electronic purchase confirmation or agreement will be provided following purchase where required.
6. Fees
Participants agree to pay the amount disclosed and accepted during enrolment.
Unless expressly identified as included, program tuition does not include:
Travel
Accommodation
Conference registration
Journal publication charges
Open-access fees
Visa costs
Personal computer equipment
Optional third-party software
Any material mandatory fee known to us will be disclosed where required by law.
7. Refunds
The MedScholars AI Refund and Cancellation Policy forms part of these Terms.
Nothing in these Terms waives a consumer cancellation, refund, warranty, or other right that applicable law does not allow a business to waive.
8. Educational and Research Nature of Services
MedScholars AI is a research-mentorship and educational service.
Unless expressly stated otherwise, MedScholars AI:
Is not a university
Is not a degree-granting institution
Does not issue university credit
Does not provide professional licensure
Does not provide medical treatment
Does not provide individualized medical advice
Participation does not create a physician-patient, university-student, employment, partnership, or fiduciary relationship.
9. No Guaranteed Academic or Career Outcome
Research and academic review are inherently uncertain.
MedScholars AI does not guarantee:
Publication
Journal acceptance
Conference acceptance
Workshop acceptance
A particular author position
Statistically significant findings
Research awards
College admission
Medical-school admission
Graduate-school admission
Scholarships
Internships
Employment
Fellowships
Any other academic or career result
Decisions made by journals, reviewers, conferences, universities, employers, and other independent organizations are outside MedScholars AI’s control.
10. First-Author Publication Pathway
The MedScholars AI Independent Research Track may be described as providing a first-author publication pathway.
A first-author pathway means that the participant is provided an opportunity to take a leading research role and work toward the contribution normally required for first authorship.
It is not a guarantee that:
A paper will be accepted or published
The participant will receive first authorship regardless of contribution
A particular venue will review or accept the submission
A submission will be completed within a specific external review timeline
Authorship must accurately reflect actual scholarly contributions and applicable academic standards.
11. Authorship
Author order may consider contributions including:
Project conception
Research design
Literature review
Data processing
Software development
Experiments
Statistical analysis
Interpretation
Manuscript drafting
Revision
Final approval
Accountability for the work
Participation or payment alone does not create entitlement to authorship.
Authorship will not knowingly be sold or assigned solely because tuition was paid.
12. Advertising, Testimonials, and Outcomes
Testimonials and examples of participant outcomes describe individual experiences.
Past outcomes do not guarantee that a future participant will achieve a similar result.
Any statement regarding publication, acceptance, award, admission, employment, or another participant result should be interpreted as relating only to the identified participant or project.
Where a material relationship exists between MedScholars AI and a person providing an endorsement, appropriate disclosure will be made where required.
MedScholars AI will not knowingly purchase, fabricate, or materially misrepresent participant reviews or testimonials.
13. Third-Party Names, Institutions, and Logos
References to universities, hospitals, conferences, workshops, journals, publishers, companies, or professional societies may describe:
A mentor’s background
A research submission
A publication
A conference presentation
A participant outcome
A research collaboration
Unless expressly stated otherwise, use of a third-party name or logo does not mean that the organization sponsors, endorses, certifies, or is formally affiliated with MedScholars AI.
Third-party trademarks belong to their respective owners.
14. Participant Responsibilities
Participants are expected to:
Attend scheduled sessions where reasonably possible
Complete assigned work
Communicate with mentors
Meet project deadlines
Behave professionally
Protect confidential information
Follow academic-integrity standards
Follow data licences
Properly cite external work
Follow applicable venue policies
Participant effort may materially affect research progress and authorship eligibility.
15. Academic and Research Integrity
Participants must not engage in:
Plagiarism
Fabrication
Data falsification
Invented citations
Falsification of results
Misrepresentation of authorship
Unauthorized image manipulation
Unauthorized data access
Unethical research practices
Misrepresentation of academic credentials
Serious misconduct may lead to removal from a project or program and may require correction, withdrawal, or notification of collaborators or academic venues.
16. Artificial Intelligence Tools
AI tools may be used where appropriate.
Participants must comply with applicable:
Journal policies
Conference policies
Institutional requirements
Copyright requirements
Privacy requirements
Research-integrity standards
AI-generated content must be reviewed and verified before being used as research output.
Participants must not use AI to fabricate:
Data
Experiments
Results
Citations
Sources
Research contributions
17. Medical and Health Data
Participants may not independently use identifiable patient records, protected health information, restricted clinical information, or similar sensitive health information through a MedScholars AI project.
Such information may be used only where the project expressly authorizes it and all required:
Ethics approvals
Institutional approvals
Privacy safeguards
Data-use agreements
Security controls
HIPAA, PHIPA, or other applicable requirements
have been satisfied.
18. Human-Subject Research
Participants may not independently recruit human research participants or undertake regulated human-subject research in MedScholars AI’s name without prior authorization and any required research-ethics approval.
19. Student Research Ownership
Except where a project-specific agreement expressly provides otherwise, participants retain ownership of their original individual research contributions.
Collaborative projects may contain intellectual property or contributions belonging to multiple participants, mentors, institutions, researchers, or third parties.
No participant receives exclusive ownership of another contributor’s work.
20. Limited Research Licence
Participants grant MedScholars AI and authorized project collaborators a non-exclusive, royalty-free licence to use participant-contributed research materials only as reasonably necessary to:
Operate the project
Review the research
Collaborate with co-authors
Revise the work
Prepare academic submissions
Submit work to appropriate venues
Present or publish accepted research
Maintain research-integrity and authorship records
This licence does not automatically authorize MedScholars AI to use a participant’s identifiable research, name, image, or testimonial for unrelated advertising.
Separate consent may be requested for promotional use.
21. MedScholars AI Materials
MedScholars AI retains applicable rights in its own:
Curriculum
Training material
Website content
Branding
Templates
Internal systems
Proprietary educational resources
Participants receive a limited right to use these materials for personal participation in the applicable program.
They may not commercially redistribute proprietary program materials without permission.
22. Third-Party Intellectual Property
Participants must respect third-party copyright, licence, software, database, and trademark rights.
Participants may not knowingly submit infringing content.
23. U.S. Copyright and DMCA Notices
MedScholars AI respects intellectual-property rights.
If you believe material made available through a MedScholars AI-controlled online service infringes your copyright, you may submit a written notice containing:
Identification of the copyrighted work
Identification and location of the allegedly infringing material
Your contact information
A statement of good-faith belief that the use is unauthorized
A statement that the notice is accurate and, under penalty of perjury, that you are authorized to act

25. Recordings
Meetings may be recorded only where appropriate notice or consent is provided.
Recorded meetings may be used for legitimate educational or administrative purposes described at the time of collection.
26. Accessibility and Accommodations
MedScholars AI aims to provide its online services in a manner accessible to individuals with disabilities.
Participants who require a reasonable accessibility accommodation or encounter an accessibility barrier may contact:

Immediate action may be taken where necessary to protect people, research integrity, confidential information, or systems.
29. Program and Mentor Changes
Research projects may evolve.

where required by feasibility, availability, research results, technical limitations, or academic requirements.
If a material purchased service becomes unavailable, MedScholars AI will make reasonable efforts to provide an alternative or another remedy consistent with applicable law.
30. Third-Party Services
Programs may use third-party platforms for:
Video conferencing
Coding
Cloud computing
AI
File storage
Payments
Academic submissions
Those services operate under independent terms and privacy policies.
31. Technology Requirements
Participants are responsible for having reasonable access to:
A suitable computer
Internet connectivity
Required software identified for the project
unless MedScholars AI expressly agrees otherwise.
32. Email Communications
Program-related communications may be delivered electronically.
Transactional communications may include:

Project updates
Research deadlines
Changes to active services
Promotional communications are subject to applicable marketing law and unsubscribe requirements.
33. Electronic Acceptance
Checking an “I agree” box or otherwise affirmatively indicating acceptance may constitute an electronic acceptance of these Terms.

34. Website Use
Users may not:
Interfere with the website
Introduce malware
Attempt unauthorized access
Scrape protected material in a manner that disrupts the service

We do not guarantee uninterrupted access to all online services.
Services may occasionally be affected by:

Mentor availability
Dataset problems
Conference changes
Research circumstances
Events beyond our reasonable control
36. Disclaimer of Warranties
To the extent permitted by applicable law, our services are provided without guarantees regarding specific research, academic, publication, career, or admissions outcomes.
Nothing in these Terms excludes a warranty or statutory protection that cannot legally be excluded.
37. Limitation of Liability
To the maximum extent permitted by applicable law, MedScholars AI will not be responsible for indirect, incidental, special, punitive, or consequential losses resulting from participation in a program.
This may include losses associated with:

Publication decisions

Missed opportunities
Third-party outages
Participant failure to complete responsibilities
This limitation does not apply where applicable law prohibits limitation or exclusion.
38. Participant Responsibility for Misconduct
To the extent permitted by law, a participant may be responsible for losses caused by their intentional:

Intellectual-property infringement
Data misuse
Illegal conduct
Material breach of these Terms
Nothing in this section shifts responsibility to a participant for MedScholars AI’s own unlawful conduct.
39. Force Majeure
MedScholars AI will not be responsible for reasonable delays or failures caused by events outside its reasonable control.
Where a material paid service cannot ultimately be delivered, any legally required consumer remedy remains available.
40. Mandatory Consumer Rights
These Terms do not waive rights or remedies that applicable law does not permit a consumer to waive.
This includes applicable rights under Canadian, Ontario, U.S. federal, and U.S. state consumer-protection law.
41. Governing Law
Subject to mandatory consumer protections and jurisdictional rights that cannot legally be waived, these Terms are governed by the laws of Ontario and the federal laws of Canada applicable therein.
Nothing in this provision requires a consumer to surrender a right to bring a claim in another jurisdiction where applicable law gives the consumer that right.
42. Changes
We may revise these Terms prospectively.
The version accepted for a particular paid enrolment will ordinarily continue to govern that purchase unless a lawful amendment is agreed to or a change is legally required.
43. Severability
If a provision is found unenforceable, that provision will be limited or severed only to the extent necessary.
The remaining provisions will continue to apply.
